The problem

The payment mechanism and its deadlines, the notice provisions and time bars, retention and when each half falls due, and anything unusual can be buried in the amendments. If a live window, notice period running or date imminent is already there, waiting for a note is not enough.

The solution

I read the payment mechanism, the time bars and the retention off the amendments, not the standard form. I check for conflicts before opening the documents and tell you that day if something is already inside a live window.

What you receive

Within three working days you get back a one-page note setting out the clauses that will cost you money: the payment mechanism and its deadlines, the notice provisions and any time bars, the retention and when each half falls due, and anything unusual buried in the amendments.

The working days start when the agreed scope and required inputs are available. Optional items do not hold the start unless the agreed scope says otherwise.

The note arrives on letterhead, yours to keep and circulate. If the contract is clean, the note says so plainly.

What I need from you

  1. The executed subcontract or order

    Why I need it: A tender-stage draft is a different document and a different answer

    Without it: There is nothing signed to read, so the health check cannot start

    Where to find it: Your order email or the job's commercial folder usually holds the signed copy. If it was never signed, send the last version exchanged and say so.

    If unavailable: The Guide's named steps remain held unless that input's exact source condition is satisfied. Any decision reserved to Jack requires his written approval. The full operating condition is retained in the private owner record.

  2. The schedule of amendments

    Without it: The note reads the standard form alone, and the amendments are usually where the real answer lives

    Where to find it: It normally sits with the executed contract, either as its own document or bound in as a schedule. Check your commercial folder alongside the main contract itself.

  3. The contract sum and current stage

    Why I need it: Sets whether retention or the final account is the live issue

    Without it: You will not know whether retention or the final account is the live issue, and periods found cannot be checked against progress

    Where to find it: Your last application or valuation will usually show it, or ask whoever is running the account day to day.

  4. The name of the paying party

    Why I need it: For the conflict check. Not optional

    Without it: The conflict check cannot run, so nothing can be opened or started

    Where to find it: The order or the front page of the contract names them, or ask whoever runs your accounts.

If an item arrives but fails the Guide quality test, it is recorded as received but unusable. I name the problem and ask for a usable replacement; the applicable condition above remains in place. Contradictory information is raised for clarification, never guessed.
