The Second Brain

A second brain is every document your project or business holds, indexed into one place you can question. The contract, the correspondence, the instructions, the diaries, the photos, the applications, the quotes. You ask it a question in plain English and it answers with a citation to the document the answer came from, so you check the source, not the machine.

The problem

The knowledge exists. It is in the shared drive, the inbox, the site diary, and the heads of two people who might leave. Finding any one piece of it takes twenty minutes when it takes five seconds to need it, so decisions get made from memory, and memory is what the other side's lawyers are counting on. The cost is not dramatic; it is a hundred small retrievals a week, each done badly or not at all.

What it is, plainly

Not my software. A second brain is built on established platforms, Obsidian for the vault and Claude for the questioning being the usual pair, in your accounts, on your licences. I design the structure, connect the sources, load the history, and hand it over working. If I vanish the day after handover, everything keeps running, because nothing of mine is in the loop.

It comes in two scopes, matching the two set-up services. A project second brain holds one job: its contract, records and correspondence, built so that the question "where does that leave us?" has an evidenced answer. A business second brain holds the company: standard rates, subcontract library, policies, past projects, lessons learned, the things a new starter takes a year to absorb and a leaver takes with them.

How it earns its keep

Ask the contract what notice a delay requires and get the clause. Ask which variations are unagreed and older than sixty days and get the list. Ask what was said about access in March and get the letter. Every answer cites its source. And it compounds: every capture pipeline and register on the Build Menu feeds it, so the system gets smarter as the records get better, which is the honest version of an upgrade path.

See mine first

I run my own practice on a second brain, the same architecture I would build for you. Before you commit to anything, I will show you mine answering a real contract question with a clause citation, live, on a call. If that demonstration does not sell it, nothing I write here should.

That demonstration is one system, shown to one decision maker. If you want your whole team shown the wider toolkit, use case by use case, that is the AI Introduction Session.

Delivered through Project Systems Set-up or Business Systems Set-up, depending on scope. If your records are in poor shape, Data Readiness for AI comes first and will say so honestly. Not sure where to start? Book a Pain Point Consultation.
