“I definitely sent that email”

The position is confident - we notified them, we rejected that, we confirmed the rate - right up until someone asks for the email. Then the search starts: the leaver's mailbox, the thread where it might have been said, the attachment that went to the wrong address. Correspondence that cannot be produced does not exist for commercial purposes, and everyone privately knows which of their crucial letters are in that category.

The cure has two ends. Filing: commercial correspondence to a job file, not personal mailboxes, named so it can be found by subject and date. And drafting: the letters that carry positions - notifications, rejections, confirmations - written deliberately, sent by the contract's route to the contract's addresses, and filed as sent, so the record is created on purpose rather than by luck. That second end is the drafting service's whole job.
