Final Account Statement

The account set out for agreement rather than for argument.

Every element of the account with your position and theirs side by side, the evidence behind each named, and the gap that is actually left to settle. Most final accounts stall because the two sides compare different documents; put both positions in one table and the meeting works through four open items instead of re-arguing the whole account.

How it works

Both positions, one table

Element by element: the basis, the reference, the evidence held, the status, the movement since last time, and the two positions with the gap between them. The gap column is the agenda.

The settlement arithmetic

From the gross account down through retention held, contras accepted and sums certified and paid, to what a settlement would actually move. Nobody signs a number they cannot trace.

A meeting instead of a correspondence

A statement in this shape turns the final account into a meeting with an agenda rather than an exchange of letters, because everyone can see the dispute is four items, not the whole account.
